The Friday Table Privacy Policy
1. Overview and Scope
The Friday Table ("TFT," "we," "us") collects only the personal information we need to run dinners, workshops, activations, and memberships, and we do not sell it. This policy explains what we collect, why, and the choices you have. It applies to our website, ticketing and checkout channels, emails, events, memberships, and consulting and client engagements, and it works together with our Terms & Conditions (v3).
By buying a ticket, registering for an event, joining as a member, or using our website, you agree to this policy. If you do not agree, please do not use our services.
We are based in Charlotte, North Carolina. Questions go to gather@thefridaytable.org.
2. Information We Collect
We collect information in three ways: what you give us, what we collect automatically, and what we receive from others.
Information you give us
Contact details: name, email address, phone number, and mailing address (for your membership card).
Registration details: ticket type, guest name for transfers, and answers to any event or guest forms.
Dietary restrictions, allergies, and accessibility needs you share so we can plan the event.
Billing details: billing location and payment information, which is handled by our payment processors (see Section 5).
Communications: messages you send us, survey or feedback responses, and requests to cancel, transfer, or opt out.
Custom engagement details: company name, event requirements, and contract information for private dinners, workshops, and activations.
Information collected automatically
Device and browser type, IP address, pages viewed, and referring site.
Email engagement, such as whether you opened or clicked a message.
Cookie and similar technology data (see Section 8).
Information from others
Another guest or member who transfers a ticket to you or lists you as a guest.
Payment processors, ticketing platforms, and event partners who confirm your purchase or attendance.
Photos and video taken at our events (see Section 6).
We do not knowingly collect Social Security numbers, government ID numbers, or full payment card numbers. We do not ask you to share sensitive categories of information beyond the dietary and accessibility details you choose to provide.
3. How We Use Information
We use your information to:
Process tickets, registrations, transfers, and memberships, including sending confirmations and shipping your membership card.
Plan and run events, including meal planning, seating, and accessibility accommodations.
Bill your membership and send the renewal reminders our Terms require.
Respond to questions, requests, and cancellations.
Send updates about upcoming dinners, member perks, and partner offers (you can opt out any time).
Promote TFT through photos and video taken at events.
Understand how people use our website and events so we can improve them.
Keep our community safe, enforce our Code of Conduct, and prevent fraud.
Comply with legal obligations and resolve disputes.
We will not use your information for a materially different purpose without telling you and, where required, getting your consent.
4. How We Share Information
We do not sell your personal information, and we do not share it for third-party advertising. We share it only in these situations:
Service providers. Vendors who help us operate, such as payment processors, ticketing and registration tools, email and text platforms, customer relationship management (CRM) software, website hosting, analytics, and data storage. They may use your information only to perform services for us.
Event partners. Chefs, venues, and hosts receive what they need to serve you, such as guest counts and dietary or accessibility needs. Partners who offer member discounts see only what is needed to confirm your membership status.
Media partners. Photos and video may be shared with media partners as described in Section 6.
Transfers. If you transfer a ticket, the new attendee's details are shared with us, and we may confirm the transfer with you both.
Legal and safety. When required by law, subpoena, or legal process, or to protect the rights, property, or safety of TFT, our guests, or the public.
Business changes. If TFT is involved in a merger, acquisition, financing, or sale of assets, your information may transfer as part of that deal. We will tell you if the new owner's use of it changes materially.
With your consent. Any other sharing happens only when you tell us to.
We may also share aggregated or de-identified information that cannot reasonably be used to identify you.
5. Payments, Memberships, and Auto-Renewal
Payments. Payments are processed by third-party payment processors. We do not store your full card number. We receive limited information such as the card's last four digits, billing location, and transaction details, which we use for receipts, taxes, fraud prevention, and accounting.
Quarterly billing. Memberships (The Seat and The Table for Two) are billed every 3 months on the date matching your original sign-up date. By joining, you authorize us and our payment processor to store your card and charge it automatically until you cancel.
Renewal reminders. We email you 30 days and 15 days before each charge. Each reminder states the renewal date, amount, card on file, and how to cancel, and discloses any rate change. You cannot opt out of these notices while your membership is active, because they are required to keep your billing transparent.
OG founding member pricing. If you join through an OG payment link, we record that status to apply the 45% first-charge discount and to show the standard rate in later reminders.
Membership card. We collect a mailing address to send your physical card. Partner businesses may ask to see the card to confirm membership. Cards are non-transferable.
Cancellation records. When you cancel, we keep your cancellation request and billing history so we can honor your access through the end of your paid cycle and respond to any billing questions.
Taxes. We use your billing location to calculate and collect applicable sales tax.
6. Photography and Media
We and our media partners may photograph or film our events and use the images in marketing and editorial materials, including our website, social media, newsletters, press, and print. By attending, you grant TFT a non-exclusive license to use your likeness, as described in our Terms & Conditions.
If you do not want to be photographed or filmed, tell us in writing at gather@thefridaytable.org before the event, and let a team member know when you arrive so we can note it. Once an image has been published, we will make reasonable efforts to remove it from channels we control if you ask, but we cannot recall copies already shared by third parties or printed materials already distributed.
7. Dietary and Accessibility Information
Dietary restrictions, allergies, and accessibility needs can reveal health information. Providing them is voluntary. We use them only to plan and run your event, and we share them only with the chefs, venues, and staff who need them to accommodate you.
We make every reasonable effort to honor these requests, but as our Terms state, we cannot guarantee an allergen-free environment. Please do not rely on our handling of this information as a substitute for managing your own allergies or health needs.
We delete or de-identify individual dietary and accessibility details when they are no longer needed for event planning, unless you ask us to keep them on file for future events.
8. Cookies and Analytics
Our website and checkout tools may use cookies, pixels, and similar technologies to keep the site working, remember your preferences, measure traffic, and understand which pages and campaigns perform well. Some of these are set by third-party analytics and marketing providers.
You can block or delete cookies in your browser settings, though parts of the site may stop working. Some browsers and devices offer a "Global Privacy Control" or "Do Not Track" signal. Where required by law, we treat a Global Privacy Control signal as an opt-out of sharing and targeted advertising.
9. Email, Text, and Marketing Communications
We send two kinds of messages. Transactional messages include ticket confirmations, event logistics, receipts, membership renewal reminders, and policy updates. You will receive these as long as you hold a ticket or membership. Marketing messages include announcements about upcoming dinners, member perks, and partner offers.
You can unsubscribe from marketing emails at any time using the link in the message or by emailing gather@thefridaytable.org. We will honor your request promptly and no later than 10 business days. If you opt in to text messages, you can reply STOP at any time to end them. Message and data rates may apply.
Opting out of marketing does not cancel your membership or change your billing. See our Terms & Conditions for how to cancel.
10. Retention and Security
Retention. We keep personal information only as long as needed for the purposes in this policy, including to provide your ticket or membership, meet tax, accounting, and legal requirements, and resolve disputes. In general, we keep guest and member records for as long as you remain in our community and for [7] years afterward for financial records. Photos and video we publish may be kept indefinitely as part of our archive. When information is no longer needed, we delete or de-identify it.
Security. We use reasonable administrative, technical, and organizational safeguards, such as access controls, encrypted payment processing, and limiting access to those who need it. No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your information, we will notify you and regulators as required by law.
Where data is stored. Your information is stored and processed in the United States by us and our service providers.
11. Your Rights and Choices
Everyone can ask us to:
Tell you what personal information we hold about you.
Correct information that is wrong or out of date.
Delete your information, subject to records we must keep for legal, tax, or billing reasons.
Stop marketing messages.
Stop using your image in future materials, as described in Section 6.
Depending on where you live, privacy laws (such as those in California, Virginia, Colorado, and other states, or the GDPR and UK GDPR if you are in Europe or the UK) may give you additional rights, such as receiving a copy of your data in a portable format, objecting to or limiting certain uses, opting out of sale, sharing, or targeted advertising (we do none of these as described in Section 4), and appealing a decision we make on your request.
To make a request, email gather@thefridaytable.org with the subject line "Privacy Request." We may need to verify your identity before acting. We respond within 45 days, or sooner where the law requires. You will not be treated differently for exercising your rights. You may also use an authorized agent to make a request on your behalf, and you may contact your state attorney general if you are unhappy with our response.
12. Consulting and Client Engagements
This section applies when we work with a company, organization, or agency (a "Client") on workshops, activations, private dinners, strategy, design, or other consulting work. It supplements the rest of this policy. If a signed agreement with a Client conflicts with this section, the signed agreement controls.
Our role. For information a Client gives us or asks us to collect for the engagement, such as employee, customer, or participant data ("Client Data"), we act as the Client's service provider and handle it on the Client's instructions. For information about the Client's business contacts, such as the people we correspond with, invoice, and contract with, we act as the responsible party, as described elsewhere in this policy.
What we collect. Depending on the engagement: Client contact and billing details; workshop and event participant names, titles, emails, and attendance; notes, recordings, transcripts, surveys, and interview responses from sessions; and background materials the Client shares, such as research, brand assets, and internal documents. We ask Clients not to share sensitive personal information, such as health, financial account, or government ID data, unless the engagement requires it and we have agreed to it in writing.
How we use Client Data. Only to deliver the engagement, communicate with the Client and participants, improve the work product, and meet our legal and accounting obligations. We do not sell Client Data, use it to market to participants, or use it for another client's work.
Confidentiality. We treat non-public Client information as confidential. Access is limited to TFT team members, contractors, and partners who need it for the engagement and are bound by confidentiality obligations. We do not name a Client, or use its logo or results, in case studies or marketing without written permission.
Participants. The Client is responsible for having a lawful basis to share participant information with us and for telling participants as needed. For sessions we run directly, we will tell participants before we record or take notes beyond routine documentation, and we use their input as described in the engagement.
Subcontractors and tools. We may use subcontractors and software providers, including cloud storage, collaboration, scheduling, and AI-assisted tools, to deliver the work. We use tools that apply confidentiality and security protections, and we [do not permit Client Data to be used to train public AI models]. We remain responsible for our subcontractors' handling of Client Data.
Work product and intellectual property. As stated in our Terms & Conditions, TFT retains ownership of its pre-existing methods, frameworks, templates, facilitation formats, concepts, programming, menus, run-of-show documents, and general know-how, unless a written agreement says otherwise. Clients keep ownership of their own materials and Client Data. Deliverables are licensed or assigned to the Client as the engagement agreement states. We may keep a copy of deliverables and working files for our records, and we may reuse non-confidential, de-identified learnings and general insights that do not reveal Client Data.
Security and incidents. We use reasonable safeguards for Client Data, including access controls and encrypted storage. If we learn of a breach affecting Client Data, we will notify the Client without undue delay and within [72 hours] where feasible, and help the Client meet its notice obligations.
Retention and return. We keep Client Data for the length of the engagement and then for [12 months] to support follow-up questions and revisions, after which we delete or return it on request. We may retain copies required by law, tax, or accounting rules, and archived files in routine backups until they expire.
Data protection terms. Clients who need a data processing agreement or other privacy terms can request one at gather@thefridaytable.org before the engagement starts. Participants who want to exercise their rights, as described in Section 11, can contact us or the Client, and we will help the Client respond.
13. Children, Third-Party Links, Changes, and Contact
Children. Our events and memberships are intended for adults aged [21] and older, and our website is not directed to children under 13. We do not knowingly collect information from children. If you believe a child has given us personal information, email us and we will delete it.
Third-party links and services. Our website and emails may link to partner, vendor, or social media sites. We do not control their privacy practices, and this policy does not apply to them. Please read their policies before sharing information.
Changes to this policy. We may update this policy from time to time. We will post the new version with a revised effective date, and for material changes we will notify members and registered guests by email before the change takes effect. Continuing to use our services after the effective date means you accept the updated policy.
Governing law. This policy is governed by the laws of the State of North Carolina, consistent with our Terms & Conditions.
